DSH Meeting Notes June 2025

Barony Meeting 06-22-25
Attending: Casimir, Vienna de la Mer, Llewellyn, Catalina de Valencia, Lettice Peyton,
Sandy Vallati (Kira), Temair ingen Muiredaich, Baron Morgan Rhys, Jaji
Coronet (Morgan): Thanks to everyone for coming to Pride. We learned a lot our first
year doing that program and we can use that for next year’s planning. Would like to start
post-Pennsic time being a bit splashier and better outreach. We want to be seen and
noticed. Reached out to Champions to see if they want to represent the Barony at
Pennsic for champion competitions. Three of the five have responded but still waiting on
armored and fencing. Offering the opportunity to have someone fight in their name since
they’ve been in the same role for over a year. The three who responded indicated they
would be at Pennsic and are willing to represent the Barony accordingly. If anyone
advances to any Pennsic Championship Team, let the coronet know. They would like to
support our people at any competitions or special events at Pennsic. Llewellyn asked
how to contact the Coronet. They are available via Discord, DM, phone, text, or email.
Exchequer: report redacted.
MoL: (Margarite): no report sent in, not in meeting
A&S: (Peyton): Weekly meetings continue on Thursday nights at the site for fencing
practice. We learned how to make Roman style was tables with A’isha. Alejandra
organized two nights to make Pride pennants and last Thursday taught people how to
play Oware, an African game. This upcoming gathering A’isha will run a Fabric 101
class. The Biennial report has been successfully submitted. We’d like more volunteers
to each. The philosophy of “If you build it, they will come” hasn’t been as successful as
we’d like. A’isha mentioned that we may not have the room for July 3rd but Vienna will
look into it. We will have a Pennsic Panic gathering on July 3rd (if room is available) and
July 17th. On July 10th, Alexandra will teach Women’s Roman Garb. A’isha isn’t available
for the July gatherings.
Jaji volunteered to teach an outdoor cooking class the 1st/2nd weekend in October over
his new firepit. Vienna noted that 1st/2nd weekend in October is probably coronation. Jaji
said that we can settle on the exact date for the class once the Coronation date is set.
It’s Donovan’s coronation and we should support him. He’s willing to do other outdoor
cooking classes in the future.
Social Media (Kira): Facebook group has had a few new members join. No problems to
date. The Facebook page has 27 followers which isn’t bad for being less than 2 months
old. Putting A&S announcements on the Page so there’s visibility for the General Public
(the Facebook Group is private). She has been busy with non-SCA things. People can
make events for any announcements so a link can be sent to interested people to have
shareable public events. It was asked if we need moderators for the Facebook page.
Kira said it doesn’t have moderators since people can’t post to it. There’s one function
where you can do anything to create an event, etc. You can pay Facebook to put your
page out as ads. The next level below is to delegate people to publish their own events.
Only she and Isabella have an “ownership” role. If you think there should be another
person in the role as backup in case she’s not available, let her know. Otherwise, we’re
fine.
Chamberlain (Llewelyn): The new storage unit is now in place and everything has been
moved in. We are paid through 12/23. Thanks to all who showed up to help with the
move.
Chatelaine (Jaji): Gold Key has been moved to the storage unit. He has to make
arrangements when time permits to do an inventory. He has items donated by Joe and
Alice but hasn’t gone through it yet. It needs to be sorted, put in clear trash bags or bins,
and laid out for inventory and evaluation. Vienna asked if he would need help. Help will
be welcome but this project will probably have to wait until after Pennsic. He’d like to
make a request for funds for dry cleaning and laundromat costs for Gold Key. Temair
asked for an estimate of cost after Gold Key has been inventoried and bring it up during
an upcoming meeting. Catalina suggested we may need to budget for more bins to
keep the clothes clean and free of dust, etc. Jaji agreed. Llewelyn said we have some
bins already but we could probably use more. Jaji will need to come up with an estimate
on costs for that.
He attempted to set up his SCA email and was told he already had one. He can’t find it
but after the meeting, would be open to assistance with this matter. Casimir said official
emails are of the format membership number @members.eastkingdom.org. A password
reset may be needed. This information was new to Jaji and he will try it.
Jaji asked if Morgan can go through the business cards and see how many are left. We
may need to expense another box. Temair said we can simply do a motion to get
another box so long as it’s under $100. Motion made and passed. Temair will arrange
for this as she did for prior box of cards. Jaji thought it would make sense to distribute
cards to people who would be interacting in the public with potential interested
newcomers so they can pass them out.
Fencing (Bastien): Fencing continues to go well. We tend to get 10 fences with half
being marshals and half being simply fencers. No reported injuries, conflicts or issues.
Most participants have been involved with the reduced armor experiment. He has
waivers available.
Thrown Weapons (Leon): no practice week of 25th and week of July 4th. There will be no
local practice during Pennsic.
Herald (Myr): no report but was able to get someone to help him learn the ropes
Web (Casimir): He’s making dates for website but it’s going slow. Will need info for St
Eligius page. Getting emails squared away, Jaji last one to worry about it.
Chronicler (Casimir): nothing to report
Archery (Casimir): All the loaner gear has been removed from Joe and Alice’s place.
Still needs to take time to make sure it’s in good shape and make whatever small
repairs may be needed. There still isn’t any local practice but we are welcome to join
BBM at their Sunday practice in Hebron. That site is outdoors and may be closed during
inclement weather. Check first. Contact Casimir if you need help with your equipment.
He wants to add a page to the baronial website linked to Pennsic archery events.
Seneschal (Vienna): She was able to put Myr in contact with someone to help him with
the Herald position. She’ll check in with the two of them to make sure everything’s ok.
There will be Curia on 07/22 at 8 pm regarding some rule changes. The agenda hasn’t
been published yet. We have a baronial meeting scheduled 2-3 days before that. She’d
like to publish to our Barony to get any input on things they would like her to bring up at
Curia. She is still looking for a Deputy Seneschal. Let her know if you are interested. All
officers are encouraged to have a deputy (or two) for each position. Think outside the
box and try to bring in someone new.
We were contacted about their Highnesses’ Fall Crown Tournament in the Central
Region as well as A&S, Rapier, and Bardic Championships and Twelfth Night. There are
already bids in play for Coronation. There is the concern with Fall Crown Tournament
being too close to St. Eligius and leading to burnout but we can look at putting in a bid
for other events that aren’t in conflict with the schedule.
OLD BUSINESS:
St Eligius (Catalina): working with site to get needed insurance certificate. The site
would like a sentence or two added to it regarding the use of alcohol and weapons in
competition only. She’s reached out to Central Region to see if that’s something that
can be done. The site won’t currently permit either but they’re considering making an
exception for us. Having it noted on the policy is crucial to making this happen. Central
Regional Deputy Seneschal said he’d look into it and get back to us. Temair is waiting
for information from Maria on the form she needs to fill out with Catalina’s help. The
date for the event is 11/15. It can’t be published until it’s on the EK website. Maria’s
working on this. Vienna said she will approve it as soon as it’s available. Kit has posted
that she’d be happy to help with the competition but has too much on her plate right now
to actually run it. We’re looking for a volunteer to run the competition. Isabella sent in
Laura’s Save Serv certificate. Orelia of BBM is working on renewing her own Safe Serv
so we’ll include that in the package to the site. Jaji noted his Safe Serv is valid to 2029.
Catalina noted that Jaji can act as backup. Vienna will let Catalina know as soon as she
hears back from Central Regional Deputy Seneschal.
Balfar’s Next year: nothing to report
Champions Day (Llewelyn): Sent notification to BBM Seneschal on announcement.
Waiting for them. The event announcement has been sent to Vienna. Save the date
10/18 for Championship. All champions need to work with their counterparts with BBM
to arrange the competition. Morgan unavailable that day. Kira asked who is BBM social
media officer so she can coordinate with them. Llewellyn doesn’t know who. Kira will
find out. Vienna can’t find one. Kira will reach out to BBM Seneschal.
New Business:
Jaji is looking at getting certified for National Restaurant Foundation serv safe teaching.
Minor income stream will be helpful. It’s mostly online to learn to teach. He’d like to get
more SCA folks to help take exam so they’re Serv Save certified. There is a self-exam
that takes about an hour and done at certain testing centers to self-exam. Looking to get
certified so he can teach how to be food handling manager.
Next meeting: July 20th at 2 pm
August meeting 24th in person at BBQ at Vienna’s home & go over customs. She’ll send
out note to everyone. Kira might not be available it’s son’s birthday.
