October 2025 Baronial Meeting
Attending: Vienna, Casimir, Llewellyn, Catalina, A’isha, Temair, Jaji, Maria, Isabella,

Officer Reports:
Seneschal/Vienna: Thanked all for attending. Will be keeping monthly meetings on
Sundays from 2pm – 3 pm through the end of the year with meetings the weekend
before events. It will be revisited after the end of the year. Thank you to all officers who
came to August officers’ meeting to edit Officers’ Handbook that Catalina has been
graciously working on. She’ll get it back to Catalina later this week. No other updates.
Coronation yesterday was exciting with the first king and queen selected by rite of
actual steel. Congratulations to outgoing Crown for getting their duchies. We have
planned back to back events: Champions’ Day, which will also be EK Thrown weapons
championship, and St. Eligius which will be a Royal Progress due to her Majesty
planning on attending.
Isabella will be working at Artifacts of a Life.
Coronet/Clarice: She has little boo baskets for upcoming Champions’ day and an extra
one for her majesty. There are no Baronial awards planned at Champions’ Day other
than recognition for both the incoming and outgoing Champions. A Royal Court and
BBM Baronial Court are planned. We’ll probably have larger Baronial court at St.
Eligius.
Vienna: Do you need anything from the storage unit: pavilion, set-up supplies, etc.
Clarice: where is the site? Is it the same one as two years ago? Llewellyn: It’s a different
site than 2 years ago but we have indoor space to set up the potluck. Clarice: Do we
need plates, cups, etc. from storage unit? Llewylynn: BBM is in charge but he’ll verify
supply needs. A’isha: Do we need EZ-Ups for changing space? Llewellyn: There are
bathrooms available for changing space.
Exchequer/Temair: (Redacted).
A&S/A’isha: Continues at Fencing practice. Continues calligraphy and illumination in
October but other than Casimir at the first meeting, no attendees. She thanks Catalina
and Maria for keeping her company. Still planning on making favors for Her Majesty for
November and asks for donations of pale yellow and cornflower blue fabric. If not, fabric
will be purchased. The DMC numbers can be found on the EK website. Catalina put a
link in the chat comments: Megha & Donovan’s webpage has details on their favors
here: https://dm.eastkingdom.org/favors/ December will be working on making red
cords as their Majesties have asked for them for award medallions. A skein of red #10
crochet thread has been purchased and a receipt will be submitted (cost: about $5). If
more people will commit to helping out with this, more thread will be purchased. The
total expected cost for materials through the end of the year will be less than $100 so no
vote should be needed. Temair: receipts can be sent as a PDF via email. A’isha said
that Peyton had her surgery and it sounds like it went well but doesn’t expect her to be
available for A&S Thursday workshops until the new year but we’re all hopeful. She will
only have two workshops in each of November and December due to mundane
conflicts. They will be posted soon.
Casimir: suggested making a stamp for the blue design. Vienna: Wilhelm might be able
to do it and will ask him.
Jaji: Cooking class happened and thanks Peyton, Temair, Aurora, etc. for coming.
Everyone had a good time and pictures were posted. He hopes to have more, probably
in the Spring.
Chamberlain/Llewellyn: Nothing to report. Items may need to be taken out for
Champions day but will bring it up as part of the event report.
Chatelain/Jaji: Nothing done further on garb. Probably an overwinter project that will be
done with Joe & Alice. He is planning on attending No Kings Rally so will not be
available at Champions’ Day. Asked A’isha to take over chatelaine duties at Champions’
Day. She will.
Archery/Casimir: It’s been quiet and he’s still looking for a place to hold practice locally.
He’s been going to BBM on Sundays for their practice and encourages others to join.
They will have archery for a few weeks more before they close range for Winter. Today’s
practice was canceled due to the inclement weather.
Webminister & Chronicler/Casimir: He’s been working on the website. Still needs to do a
pseudo-Masthead there. Three months of meeting notes have been posted. The link for
St. Eligius has been cleaned up.
Rapier/Bastien: Practice continues to go well. We’ve averaged nine fencers weekly in
September with three of them being marshals. No reports of injuries, conflicts, or
equipment failure. The reduced armor experiment continues. There are signed sheets
for the MOL to collect. The bill from the church for use of the premises from JulyDecember has been sent to Vienna and Temair.
Social Media/Kira: Regrets and apologizes for missing the last two meetings due to a
conflict with appearing in the play. There’s nothing else of note.
Old Business:
Champions Day/Llewellyn: All set: Champions have their tournaments all set and East
Kingdom Thrown Weapons competition ready to go. Spoke with BBM at Coronation. All
supplies coming from BBM or the Outgoing Champions. Not asked by anyone in our
barony to bring anything but will check on plates, cups, etc. Gwendolyn was at
Coronation and all good.
Casimir: Potluck questions: How was facilities & can he bring Coleman Roadtrip for
cooking?
Llewellyn: No cooking allowed on site. We can only warm up food. There is a fridge on
site but it’s been awhile since he’s seen it.
Temair: Normal house fridge? Llewellyn: yes. A’isha: Is it up & running because it’ll take
24 hours to reach temp. Llewellyn: he will check.
Temair: drink situation? Llewellyn: will check. Catalina: thinks there are three drink jugs
in storage – one for each marshal station. Temair: Izzy would bring one to make 4th.
Catalina: bring one for each station. Temair: table for each station? Llewellyn: we can
bring one but not many in their area. Maria: has tables to bring. Vienna: has one but a
little broken. Casimir & A’isha: have 2-3. Temair: post to Facebook to bring tables &
something about ice. Her town has an icehouse. Jaji won’t be there. Will be at No Kings
day. Llewellyn: will bring plates & cups.
St Eligius: Maria: We’re in a good place. A couple of classes & guild meetings so far and
working on finalized schedule. Contact her if anyone wants to add a class or meetings.
There are no elevations scheduled. Catalina corrected this that there is one elevation
scheduled but as it’s a second peerage for the individual, no vigils are planned. Maria
has sent site check. They have gotten enough volunteers that prizes for the
competitions are covered. Izzy and Arelia have swapped for first and second for kitchen
supervisor. Both are certified. Emails to groups of volunteers continues but if you get an
email, discuss JUST the topic in the reference line as there are several conversation
chains going on and wants to keep things clear. Jaji (as Chatelain) will make sure Gold
Key is available for the event although he plans on being available to assist in the
kitchen and A’isha (as deputy chatelaine) is working Gate.
Temair: Site check has cashed so kitchen deposit has been provided. Catalina: has
been in contact with Crown and we’ll see how the Royals want to proceed. We have
plenty of space. The planned meetings are: Athena’s Thimble, Brewer’s guild, 2 classes.
A tentative schedule has been made but it still being worked on and will post it 2-3
weeks before the event. Their Majesties ask that the schedule is posted to the EK site
two weeks before the event. Catalina has given a deadline of 10/31 for accepting new
meetings or classes.
Catalina: typically we clear out storage supplies for St. Eligius. Maria: We’ll need sample
size Dixie cups to make sure we meet the size limitation for testing alcohol submissions
for brewers. Vienna: may already have some but how many needed. Maria: thinks 100
will work. Catalina noted that there should be little dishes in St Eligius supplies. She has
a list of what’s needed and will cross reference with what’s available in storage. Temair
thinks we may need to buy beans for judging and needed to know what kind. Maria said
any dried bean works and she thinks she has an open bag of black beans she can
bring. Llewellyn said that there shouldn’t be any in storage since we avoid leaving food
stuffs there to discourage vermin. Catalina will be scheduling a one hour staff meeting in
the future to discuss all concerns and needs.
Balfar’s/Casimir: How does April 18th sound? That’s when the fairground is free. Tom
and Jaji have both approved the date. Catalina asked when is Spring Crown. Casimir
thought it as the beginning of May. Llewelyn said that Coronation is usually in the
beginning of April so April 18th should be fine. Vienna thinks it will work out. Casimir
noted that Easter is April 3rd and Passover ends April 8th. Casimir will get contract to
Vienna. Catalina asked for an update on site tokens. Casimir is looking at ideas
including using a brand on wooden disks cut from branches he has available to him.
Catalina suggested she could speak with Wulfgar on casting as he’s willing to give a
lesson on lead. It will depend on the scope and volume needed. Temair said it depends
on the design. Wilhelm has also done casing. Catalina mentioned that he’s made nice
ones before. Temair commented that although soapstone for molds is cheap, the actual
metal isn’t. Casimir said that was why he was looking at wood and, although he’d love
to have a laser cutter, it’s not in his budget. Catalina said that you could use a Dremel to
cut out design and that Llewellyn has done inlaid mother of wood on knife handles.
Casimir noted that it’s the volume that’s needed and that he could cut wood disks for
little to no coast and that a brand would cost $30-$40. He’s also considering the cost of
a rubber stamp with “Balfar’s” and a polar bear design on one side and “30” on the
other. Temair noted that you could use a Dremel on the end of rebar to make a stamp or
brand. Catalina said that if we plan early enough, we could have a craft day with
volunteers to do this. Casimir said he doesn’t have a way to contact people to do this.
Catalina suggested he reach out to people using the Fencing Discord and start a
conversation. She also said that Tristan, Randy, Llewellyn and others would probably be
interested. Casimir noted that BBM is planning on setting up a list at events for people
to sign-up for emails, volunteer, etc. to try to grow the pool of volunteers. Vienna said
we need to figure out a way to get more people involved and also that we need to start
thinking about prizes. Casimir also commented on the need for prizes and also needing
named insurance. Temair noted we can’t reach out to get named insurance until the
contract is signed and the event is listed on the EK page.
NEW BUSINESS:
Temair: We have an upcoming expense to pay $300 for fencing at Bethesda Lutheran
Church. Catalina made a motion and A’isha seconded. Motion passed. Wilhelm finally
gave receipts for 2025 for heavy list but has no 2024 receipts (no 2024 receipts as the
facility was closed due to flooding). Asking for $650 heavy list for 2025 up through
October. Casimir made a motion for funds. Catalina seconded. Motion passed.
Next meeting scheduled for Sunday, November 9th 2 pm – 3 pm. Agenda will be
published beforehand. Vienna asked to be included in any staff meetings for St. Eligius.
Casimir (to Maria & Catalina) wanted confirmation of upcoming fencing practices to put
on calendar. Are the dates November 6, 13, and 20? Directed to contact Les.
Vienna need a motion to adjourn meeting. Catalina made motion. Maria seconded.
