Coronet (Clarice): Expecting a 45 minute Baronial court with 5 awards presented as well
as challenge gift baskets and a gift for her Majesty. We will then jump to the Royal
Court. & normal challenge gift baskets & guift for their Majesties. Then jump to royal
court right after.
Coronet (Morgan): Thanked everyone who worked to put this together. Vienna asked if
the Baronial Court information been conveyed to their Majesties Herald. Catalina has
been in contact with the Royal Liaison and this information has been conveyed.
Exchequer (Temair): (redacted)
Herald (Mir): having technical difficulties. He is having trouble logging into email. Awards
given out at Champions’ day were 4 champions: Regair: thrown, Tove: fencing; Boulder:
armoured; Casimir: archery. Colin was given a writ for the Mark. He’ll get help later on
the email issue.
MOL (Margarita): not here
A&S (A’isha): Peyton will be available for December. November’s A&S is to work on
Queen’s favors. Five kits were obtained from her Majesty and all given out. If people
bring their completed favors to St. Eligius, they can be bundled together and sent to
Crown.
Chamberlain: (Llewellyn): All supplies left over from Champion’s Day has been returned storage unit. He’ll be going back and will bring anything out of storage for St.
Eligius that he’s asked to.
Chatelaine (Jaji): Was having technical trouble. Planning on sorting and organizing
newly obtained Gold Key in January. Volunteers wanted. Vienna said to just tell us when
and where and we’ll show up. Jaji said it will be at his home at a time to be determined.
Thrown (Leon): finished for season, too dark & cold. We’ll open up again in Spring a
couple of weeks before Balfar’s. It was a good year with no accidents or issues. It was a
good Champions Day.
Archery (Casimir): still on hiatus and he’s looking for site to use for practice.
Webminister (Casimir): He’s done updates to the calendar and website.
Chronicler (Casimir): nothing going on. There’s no mailing list to send it out in this day
and age. Catalina was concerned because it’s a required position and a newsletter is
needed. Casimir said he can have a generic newsletter to put on the website. Vienna
will bring it up. Temair says Kingdom does it online. Morgan also noted that we have to
have a Chronicler or Webminister. Vienna brought it up that Chronicler is a Society
requirement and not precisely an East Kingdom requirement. Temair said it’s in the
Society bylaws and was then adopted by the East Kingdom. Vienna agreed that it is
definitely in Corpora.
Fencing (Bastien): Practice continues. We have about 10 people each week. It’s going
well. Nothing new otherwise.
Heavy List (Balfar): no report from knight marshal
Seneschal (Vienna): We now have Heirs (Culann & Honig). She asked about the
awards given out at Champions Day. Myr is having trouble logging into email.
Old Business:
St Eligius (Maria): 128 preregistered on Paypal but expect more at the door. Temair just
got another 7 preregistered. We should be able to cover costs. She expects it will be
well attended and is excited for the new site. Please pre-register. We didn’t put in any
fees to comp except her Majesty. She’ll put post out formal post for set-up help. Site
opens at 7 am for staff to set-up and event starts at 10 am. The main gym will house the
competition. It has a weird floor so all shoes need to be non-marking, any furniture that
is being moved must be PICKED UP and not slid. She’ll bring a few reed mats to put
under the thrones. The Royals were asked to bring their floor cover. Rooms have been
shuffled around. There is a food pantry on site and she will be sending out a request for
donations of non-perishable food items. We can take the information from the site’s own
flyers and use that regarding the food pantry. Discussion of how many tables ensued.
We have 12- 8’ tables and 2-6’ tables. Maria and Catalina have 6’ tables. All tables will
need to have proper plastic/rubber feet to protect the delicate floor. There is a baggie of
rubber feet if needed. Casimir will bring 2-3 tables and leave them in the car unless
needed. We will need an outlet and extension cords for Gate. We can plug into site
Internet if needed but it’s difficult to use. WiFi is open but can get bogged down
depending on usage however it is better than the cell service in the building. Casimir
said he can bring a long ethernet cable. Vienna said it took months to get a mouse.
Casimir said he might have some. Maria suggested downloading anything needed
before the event. Temair said 30 tables total needed as we have 24 competitors and 25
displays. Temair also needs more judges and asked people who are interested in
judging to contact her. Some of the displays are smaller and can share tables but some
of the competition needs the full 6 feet. Maria warned people that we can’t move tables
from the classrooms although we may be able to use some of the tables from the
cafeteria. Casimir volunteered his tables for the display/competition. Isabella has hot
serving bays available in the kitchen. Catalina and Maria will have tables available for
Isabella. A’isha asked about possible credit card reader for Gate as more people have
asked about it at other events. Temair said one isn’t available and people will have to
use cash or checks. Catalina said there are plenty of ATMs nearby. Temair reminded
everyone that the Paypal preregistration ends Tuesday night at midnight. Maria said
there would be one vigil on site. If there are any questions on the event, reach out to
Catalina or Maria. If there are any questions on the competition/displays, reach out to
Temair. Temair asked where can the judges meet to discuss the competitors. Catalina
said the library would be available. Maria said there may be classrooms available
depending on the time of the discussions and will look at the schedule. Temair said
Peyton has been volunteered as a judge. Casimir will meet up with Temair on Tuesday
at 9 am to get money box and Gate supplies. It was mentioned that we’ll need to have a
discussion in the future regarding what fees can be comped since we need an official
Baronial policy to be compliant with EK law. Maria said we can’t comp more for this
event in order to remain compliant with EK law.
Balfar’s (Casimir): Preliminary budget prepared. He expects we’ll need 6 to be comped
(Majesties, Highnesses, Coronet). Lynn would like to see head cook be comped as
well. The discussion on who gets comped for entrance was tabled for a future date TBD.

was approved. Temair will pay site fee tomorrow and reach out to the BOD for the
insurance.
New Business:
Financial Policy: Temair would like to establish a better financial policy. It would need to
be sent out to everyone to review. Vienna said we’ll need to send out the policy for
comment and give a time limit for review. Temair said it might be easier to tackle this
section by section. Temair will work with Vienna on what they’ll be looking at to present
at the next meeting. Vienna said that’s something to put in the newsletter. Casimir will
post the planned discussion to the website.
Baronial Custom: Catalina said we went through it two years ago. She’d like to do it at
the same time as the financial policy or later. A’isha suggested we tackle financial policy
first and then address custom. Vienna noted that officer elections are in March so we
should get to that before custom.
Heaters: Catalina brought up discussion about heaters for Balfar’s. Peyton wants to
have heaters. Catalina questioned if we can fit them in storage noting that we can’t
store propane or other fuel there. Jaji found rental at $19/day. Vienna suggested we do
research on buying them. Casimir and Llewellyn noted that they can get/have tanks.
Temair wants us to look at how heaters can be used on the Balfar’s site and what’s
required. She saw that space heaters need 3 feet of space all around. With a stand
heater, it’s less of a hazard although you have to consider tipping. Vienna will do
research and bring to the next meeting. Temair reminded people that Jaji has an
