Baronial Meeting 01/18/26
Attending: Vienna de la Mer, Casimir Sarkastyczny, Isabella, Kira, Bastien Olivier, Catalina,
A’isha, Clarice (internet issues), Lettice Peyton, Llewelyn, Temair, Jaji
MOL: not in attendance
A&S: (Peyton): This month we’ve been making Yales for the barony. A’isha has a receipt for
some of the parts. The receipt has been forwarded to Peyton for submission. Next month, we’ll
be doing “Fashion February and working on garb. We have a new person, Araiya. Discussion of
potential trip to Cloisters in March or June. Suggested that anyone going to 4Q event in NJ
(Memorial day Weekend) could go to the Philadelphia Museum of Art the following Sunday so
linking a camping event nearby with a Sunday visit to museum. Still working on exact dates for
museum trips but we’ll discuss more on Thursday. Vienna noted that we don’t have the
exchequer in attendance so we can’t discuss reimbursement at the moment. Peyton would like
to do something for Pride Month. We have banners but would be fun to have a night dedicated
to A&S for the parade. Suggestions welcome.
Social Media (Kira): Mostly quiet. Got an email from a senior center wanting to do something
with the barony. It was forwarded to the Coronet & Seneschal. Jaji, as chatelaine, was added.
No update. Vienna will follow-up with Jaji. New EK social media officer having meet & greet at
Burka. Kira will be attending. Raven will help her with trying to put together content. That makes
Raven her deputy. Vienna would like her added to the officer list on the website. Casimir said he can take care of that. Kira wants to confirm with Raven that she’ll officially accept the deputy position first.
Chamberlain (Llewelyn): Needs Temair for report. Needs to coordinate with Jaji on Gold Key.
Would like Funds for new containers for tablecloths but would need Temair, as exchequer, to be present to address.
Herald (Myr): no report but Vienna doesn’t think anything is going on. Catalina will be elevated to Order of the Pelican at Bardic Champs in NH. One of three peerages to be awarded at this event. Expect busy day. Llewelyn is beyond excited about this.
Chatelaine (Jaji): Issue with sound – he’s computer won’t unmute and Vienna can’t do it even as meeting host. Notes typed in chat. Jaji is planning a gathering next Saturday, January 24th at 2pm at his home to review Gold Key. Volunteers wanted.
Fencing: (Bastien): Fencing going well. A few practices occurred in December then we were off
for holidays. We’re back now. Vienna believes the contract for the site was sent to Temair as
exchequer but she’s not present so we can’t discuss it right now. Catalina said that Temair
posted on the Facebook Group that a W-9 is needed for all vendors where the Barony spends
over $600 per year. We’ll need a W-9 for fencing.
Knight Marshal (Balfar): not here but had a discussion on Sunday with Vienna. The shed is still
at the Keefe Center. Since we no longer use that site, Balfar & Willie were going to empty it out
and store the heavy list supplies at Vienna’s home in her shed. Casimir said he thought Balfar
was going to move the shed from its present location to Balfar’s home. Vienna said they build
something there so the shed is no longer able to be moved. There were some thoughts about
prior discussion of selling the shed to the Keefe Center. Catalina said that it was difficult to
discuss this possibility with the Keefe Center during COVID so it never actually happened.
Catalina & Lleweyln said it won’t be easy to disassemble and remove the shed itself. Vienna
would like to have a way to save it if possible and then reassemble on her property. Catalina
said there’s a plastic shelving unit with heavy gear on one or two shelves. It’s not huge. Doesn’t
remember there being a large amount of gear being stored inside. Vienna will discuss offline.
Catalina says she’s small and could help move items. Balfar had said everything should fit in
Vienna’s SUV. Casimir asked if pell is in the shed. Vienna said the pell and helms are there.
Isabela mentioned she has a pickup if more space is needed for the move. Vienna said they
weren’t going to proceed anytime soon due to snow.
Thrown (Leon): No report
Archery (Casimir): nothing much going on. If people want to go over equipment, please contact him. He hopes that Catalina and Llewelyn can help with contacts in Durham for a possible archery site. Caroline at the site of St. Eligius was helpful on suggesting possible sites. We will need Catalina, as a Durham resident, to be named on the paperwork. She’s fine with that if it’s only her name on the paperwork and she’s not actually responsible for handling archery.
Webminister (Casimir): He’s setting up a website for Balfar’s Challenge and will be posting
information for the event there. If anyone running a tournament has their schedule finalized, let him know so he can post it. He needs the updated list of Baronial Champions to add to the
Barony site. The Baronial calendar is up to date. Any new activities should be emailed to him so they can be added. The quarterly report has been submitted to EK.
Chronicler (Casimir): New masthead has been posted. It just consists of a list of officers. He
mused that he has no idea why we have both a Chronicler and Webminister in this day and age. Vienna noted that it is still required by Corpora.
Exchequer (Temair): (Redacted)
Seneschal (Vienna): Quarterly report filed. Curia 020226 at 8 pm, changes are online. They are
very minimal and consist of mainly removing some questionable language and adding some
details on the offices having to create, update, and maintain policies and procedures. Effingham
(EK Seneschal) isn’t seeking a new term. If you are interested in that position, email Crown &
EK Seneschal. The officer will need to be installed at April Coronation. The Barony has elections coming up soon. Letting folks know that we will have elections in March for Chamberlin, MOL, Exchequer, and Knight Marshal. If you want to stay in the position or if you’re interested in being one of these officers, email Vienna directly and cc the Coronets. She is still looking for a deputy. Vienna is looking at possibly getting a Zoom account for online meetings.
Old Business:
Balfar (Casimir): Paypal is now working. Announcement has been fleshed out and posted. He
hasn’t approached the Baron on having an A&S display this year (like the one we had last year). There will be a Rose Tournament: Balfar will handle the heavy list part of it and Bastien will handle fencing. He’s waiting for more information from the Roses on exactly what they want. Other volunteers include: Catalina as Royal Liaison, Isabella as prize coordinator, Cama (BBM) for archery. We still need a lead to run gate. He will be making contact with dumpster and porta-potty vendors and getting W-9s from them. He’s also working on getting a W-9 from the site.He asked where they should be emailed to. Temair said all completed W-9s should be sent to her. He’s been experimenting with some tokens: Slabs of wood stamped with something (has lots of 1-1/2 – 2” diameter 3/16” thick rounds). Vienna suggested that it can be part of a future
A&S Thursday workshop.
Baronial Game Night (Isabella): The possible sites right now are: Booth Memorial Park ($600.00
upfront with $300 possible return deposit) and the Masonic Lodge ($500 for the downstairs
w/street parking). Peabody would be open during the day but the parking garage across the
street isn’t complete. Lots of guys at the Lodge are interested in gaming. She’s going to see if
they’ll be interested as acting as the host with the barony being invited guests. This could
potentially mean we wouldn’t need to pay since it would be their function and we would just be
attending as a bunch of friends going gaming. Or we could just rent the hall. We would look at
possible dates and go from there. It has space for other activities if people wanted to do things
other than gaming. Just need dates and decide what we would like to do. We had some dates
but then it conflicted with Mudthaw. Vienna asked to see if we can get some dates and see if the
Masons will be willing to host the event. Christoffel is now secretary of the Lodge and has been
a bit overwhelmed. She’ll get dates for both sites. Vienna said we can’t post prices, must be in
an email. Isabella asked if she can post dates on Facebook. Vienna suggested she set up a poll
on Facebook to see what are the best dates. Isabella will do that and email prices to Vienna by
mid-week. Isabella emailed other possible site (Beardsley Zoo). Vienna concerned with capacity
limits. Isabella was looking at doing other things.
Draft for Baronial Financial Policy: Vienna gave her heartfelt thanks for Temair’s work on it. The draft is available on the Baronial Website. We will accept edits and comments until 2/14/26. Please Email suggestions and edits to both Vienna and Temair. The Baronial members in attendance at the next business meeting will review the edits and comments received and vote on the draft. Temair said once we approve it, it has to go to Kingdom for review.
New Business:
Reimbursements: Bastien requested funds for the church for use for fencing & A&S space. This
would cover the next 6 months. Temair asked that he get a W-9 since it’s over $600 for year.
Vote taken. Passed. Peyton asked for A&S reimbursement for Yale award supplies. She’ll
forward receipt. Voted & passed. Llewelyn asked for funds to purchase two storage totes.
Approval motioned and passed. He’ll get them before next meeting.
Storage for Heavy List: Temair suggested that since we can’t move storage shed, we should
start looking for new container/shed to replace the Keefe Center storage shed. We’ll need to do
research on the costs. A’isha asked if the heavy list gear can fit into storage unit. Catalina said
that there isn’t sufficient space. Vienna noted that the distance between the storage unit and the fighter practice site in Naugatuck makes it impractical. It can be stored for the time being in her garage/shed.
Next meeting is Feb 15th. Sunday. Trying to stick to the third Sunday.
Financial Draft commentary needs to be emailed to Vienna and Temair by Feb 14th . Do NOT
use Facebook messenger or any other method. Email is the only acceptable channel.
Casimir (to Jaji as head chef): we’ll need to get you money for Balfar’s. Temair: will need to
know how much money to front for food sometime in March. Jaji: March will work. A’isha: W-9for food? Temair: food is the exception. Jaji will work on food permit from Guilford next month.
Meeting adjourned at 2:58 PM
